Setup & Installation
There are two options for installation — the Mac App Store or downloading directly from daylite.app. The Mac App Store version ensures seamless updates through Apple’s ecosystem, while the direct download allows for greater flexibility and access to the latest features as soon as they’re available. Both versions offer the same powerful tools to help small businesses manage clients, projects, and sales efficiently on macOS.
One of the biggest differences between the two versions is the ability to use the Daylite Mail Assistant. There is an extension available for the Mac App Store version, but in order to use the Daylite Mail Assistant, which has more features than the extension.
User Experience
When I first downloaded the free trial of Daylite, I was completely taken with the “Add to Daylite” button on the top of my emails. I was originally just looking for a Mac-based CRM, and I loved how easy it was to save contacts directly from my email into Daylite. When I say that we’ve been searching for a CRM for years, I mean we’ve been searching for years. We’ve tried so many different options—some were too clunky, others lacked deep macOS integration, and many were just overkill for a small business like ours. But Daylite seemed like the perfect fit from the get-go. My partner and I could finally share our contacts and see all the messages related to a particular subject—all within Daylite.
That’s when I reached out to Daylite to discuss working with them more in-depth for this review. I was put in contact with a Sales Manager, which I sometimes shy away from. But as it turns out, having more contact with Daylite is better than less because it’s an incredibly deep piece of software. The more I explored, the more I realized how much I had been missing in other CRMs.
From the moment I started using Daylite, I could feel how Mac-like it was. Unlike so many web-based tools that feel bolted onto macOS, Daylite feels like an extension of the Mac itself. The design, the shortcuts, and even the offline functionality—it all just made sense.
A Blast from the Past with a Modern Twist
Around 25 years ago, I worked with FileMaker Pro to create databases for tracking things like media libraries and contacts. This was long before there was an App Store to pull from. My brother and I would create databases from scratch to suit our needs. When I started working with Daylite’s full software suite, it reminded me of FileMaker Pro in the sense that you can mold Daylite to fit your workflow rather than the other way around. That flexibility is rare.
Mind-Blown Moment: Smart Lists & Beyond
To really understand how all the pieces of Daylite work together, I scheduled a one-on-one session with one of their onboarding advisors. This is something that’s offered at every subscription tier, and I would highly recommend that users take advantage of it. I consider myself pretty tech-savvy and thought I was getting the hang of using Daylite—until the advisor introduced me to the Smart List feature. My mind was blown! Suddenly, I could filter tasks and projects into groups with ease, something that had always felt frustratingly manual in other CRMs.
And that was just the beginning. Over the following weeks, I kept discovering little gems that made my workflow smoother. The ability to link emails directly to contacts and projects eliminated so much back-and-forth. I also found that the more I used Smart Lists, the more efficient my daily workflow became—something no other CRM had truly nailed for me.
Still Learning and Customizing Day-to-Day
Even though we’ve been using Daylite for some time now, we’re still learning about the best ways to customize it for our specific needs. Daylite’s flexibility means we’re constantly finding new ways to organize our tasks, contacts, and projects. We’re still tweaking the system to align perfectly with how we work and what’s most important to us. Each day brings a new discovery, and I appreciate that Daylite allows for such deep customization, even if it requires a bit of trial and error to get everything just right.
A Few Learning Curves—But Worth It
No software is perfect, and Daylite does have a learning curve, especially if you’re used to web-based CRMs. Some features take a bit of exploration to fully grasp, and at first, I struggled with finding the right way to organize my workflows. But after watching a few tutorials and leveraging their training session, I got into a rhythm.
Would I recommend Daylite? Absolutely—especially if you’re an Apple user looking for a powerful yet intuitive CRM. It’s a rare blend of depth, customization, and native macOS functionality that just works. If you’re willing to invest the time to learn it, the payoff is huge.
